Privacy Policy
How we collect, use and look after your personal information.

Who we are
Bold On Hold is an Australian on-hold message production business, part of Bold Media Group. We write, record and produce on-hold messages, after-hours recordings and IVR menus for businesses across Australia. This policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect
We only collect what we need to quote, produce and support your on-hold messages:
- Your name, business name, position, email address and phone number
- Your business address or service area
- Script notes, product and pricing details you send us for your recordings
- Files you upload through our forms (logos, scripts, brand documents)
- Basic website usage data through Google Analytics – pages visited, approximate location, device and browser
- Where you came from before visiting us (campaign tracking such as utm_source), so we know which advertising is working
We don't collect sensitive information (such as health or financial details) and we don't ask for credit card numbers through our website forms.
Why we collect it
- To respond to your enquiry, demo request or change request
- To write, record and deliver your on-hold audio
- To invoice you and keep proper business records
- To contact you about your account, renewals or script updates
- To improve our website and understand which pages are useful
How we use your information
We use your information only for the purpose you gave it to us, or for a closely related purpose you'd reasonably expect. We don't sell your information, and we don't rent or trade your contact details to anyone. If you'd like to stop receiving our occasional emails, reply to any email and ask us to stop – we'll action it straight away.
Who we share it with
We share information only where it's needed to deliver our service, including:
- Voice artists and audio producers who record your script
- Our email, hosting and analytics providers (including Brevo for email delivery and Google Analytics for website statistics)
- Your telephone system provider or IT partner, where you've asked us to load audio onto your phone system
- Our accountant, and any authority where the law requires disclosure
Some of these providers store data overseas. Where that happens, we take reasonable steps to make sure your information is handled to a standard consistent with the Australian Privacy Principles.
Storage and security
Your information is stored in secure, password-protected systems with access limited to the people who need it. Our website is served over an encrypted (HTTPS) connection. No online system is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorised access. We keep records for as long as we need them for your account and for the period required by Australian tax and business law, then delete or de-identify them.
Cookies and analytics
We use Google Analytics 4, which sets cookies to measure how people find and use our site. This gives us aggregated reporting, not your identity. You can block or delete cookies in your browser settings, or install Google's opt-out browser add-on. Blocking cookies won't stop you using our website or forms.
Access, correction and complaints
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Just get in touch and we'll respond within a reasonable time – normally within 30 days. If you think we've mishandled your information, tell us first so we can put it right. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
